The data controller is RFCarSystem di Serena Villani, with registered office at Via Colleone, 23 – Arce (FR), Italy, VAT no. 03107810602, email: info@rfcarsystem.com.

2. Types of data processed

The Controller may process the following categories of personal data:

  • contact details, such as email address, telephone number and postal address;
  • billing and shipping data;
  • data relating to orders placed, products purchased and purchasing preferences;
  • payment data, to the extent necessary to manage the order;
  • technical browsing data, such as IP address, date and time of access, requested URLs, user agent, operating system, error logs and information derived from cookies and similar tools;
  • any data provided by the user through contact forms, emails or other communications sent voluntarily.

3. Purposes of processing

Personal data is processed for the following purposes:

  • to allow browsing of the website and the correct operation of its technical features;
  • to manage the cart, checkout and purchases made through WooCommerce;
  • to manage orders, payments, shipments, returns, refunds and after-sales support;
  • to fulfil pre-contractual, contractual, administrative, tax and accounting obligations;
  • to prevent fraud, abuse and unauthorised access and to protect the security of the website and infrastructure;
  • to handle requests sent via contact forms, email or other communication channels;
  • to improve the content, the structure of the website, the product catalogue, the usability of the pages and technical and SEO optimisation activities;
  • to collect aggregated or pseudonymised statistics on the use of the website, where applicable;
  • to send commercial and promotional communications, only where permitted by law and/or with the data subject’s prior consent, where required.

4. Legal basis for processing

The processing of personal data is based on the following legal grounds:

  • performance of a contract or of pre-contractual measures taken at the data subject’s request, for the management of purchases and related requests;
  • compliance with legal obligations, in particular in tax, accounting, administrative and security matters;
  • legitimate interest of the Controller, for website security, prevention of abuse, technical management of the infrastructure, improvement of services and protection of its rights;
  • consent of the data subject, where required by law, for example for certain cookies, tracking tools, marketing or profiling.

5. Whether providing data is mandatory

Providing data for contractual, administrative and tax purposes is necessary. Failure to provide it may make it impossible to manage the order, payment, shipment or the request sent by the user.

Providing data for marketing or profiling purposes is optional. Not giving consent does not affect the ability to browse the website or purchase products.

6. Processing methods

Processing is carried out using paper, electronic and telematic tools, in accordance with the principles of lawfulness, fairness, transparency, data minimisation and security. Appropriate technical and organisational measures are adopted to prevent unauthorised access, loss, destruction, disclosure or unlawful use of the data.

7. Data retention

Personal data is kept for no longer than is strictly necessary for the purposes set out in this policy and, in particular:

  • data relating to orders, invoices, payments and contractual relationships is kept for the period required by applicable civil, tax and accounting law;
  • data sent through contact requests is kept for the time needed to handle the request and for any related subsequent needs;
  • data collected for marketing purposes is kept until consent is withdrawn or the data subject objects, unless otherwise required by law;
  • technical and security logs are kept for the time needed to manage, protect and verify the correct operation of the website and server, unless further retention is necessary to investigate unlawful acts or protect the Controller’s rights.

8. Recipients or categories of recipients

Personal data may be disclosed, within the limits relevant to the purposes indicated above, to parties acting as data processors or independent controllers, including:

  • providers of hosting, technical maintenance, server management, IT security, backup and system administration services;
  • platforms and plugins used to run the WordPress website and the WooCommerce shop;
  • payment service providers and their technical intermediaries;
  • couriers, shipping companies and parties responsible for logistics and delivery of the products;
  • tax, accounting, legal and administrative consultants;
  • public authorities or competent bodies, where required by law.

9. Online payments

To manage payments, the website may integrate third-party payment services and gateways, including PayPal, Klarna and SumUp.

Depending on the method chosen by the user at checkout, the payment may be handled directly by the relevant provider, which will act as an independent controller of the data necessary to carry out the transaction, in accordance with its own privacy policy.

The website does not store the complete details of the payment instruments used by the user, except for the information strictly necessary to manage the order, the payment status and any refunds, disputes or anti-fraud checks.

Express payment methods such as Apple Pay and Google Pay may be made available through the payment gateways or providers enabled on the website. In such cases, the related data is processed in accordance with the rules and privacy policies of the respective operators and connected gateways.

10. WooCommerce and order management

The website uses WooCommerce to manage the product catalogue, cart, checkout, orders and related operational communications. WooCommerce may process data such as first name, last name, address, email, telephone number, order details, purchase history and the information needed for the administrative and logistical management of the sale.

11. System logs and server security

This data may include, for example, IP address, date and time of the request, requested page, user agent, operating system, technical referrer, outcome of the request, application errors and login attempts.

This data is processed for security purposes, technical monitoring, prevention of unauthorised access, analysis of malfunctions and protection of the Controller’s rights.

The website may use Google Fonts to display fonts. Depending on the technical configuration, loading the fonts may involve the transmission of technical data, such as the user’s IP address, to the providers involved in delivering the service, or the fonts may be served locally from the website’s server.

13. Google Maps

The website may integrate Google Maps to display interactive maps and geographical information. Use of this service may involve the processing of technical data by the relevant provider, in accordance with its own terms and privacy policy.

14. Traffic analysis, SEO and content improvement

The website may use technical, statistical or analytical tools to understand how pages work, monitor performance, identify errors, analyse browsing paths in aggregated or pseudonymised form and improve the structure, speed, content, product pages, internal search and organic search engine ranking.

SEO optimisation activities mainly concern content, performance, technical structure, metadata, indexing and usability of the website and do not in themselves involve further processing incompatible with the original purposes; any non-technical tracking tools remain subject to consent where required.

15. Transfer of data to non-EU countries

Some service providers used by the website may process personal data outside the European Economic Area. In such cases, the transfer will take place in compliance with the conditions laid down by the GDPR and, where necessary, by means of appropriate safeguards, such as adequacy decisions or standard contractual clauses approved by the European Commission.
